WELCOME BACK TO TERM 1, 2023!

We hope that everyone has had a wonderful holiday and is ready to embark on the new school year ahead. 

The Accounting For Schools Team is back in full swing, ready to hit the ground running! We are all feeling energised, invigorated, and ready to assist with any queries you may have.

The year-end audit process has begun and many of you have already received a checklist and some questionnaires to complete from the auditor; you may also have had an interim audit visit.
 
A folder has been created in google drive called "Audit Information & Checklists"; and we would appreciate it if you could please upload the auditor checklist, fraud risk assessment, and any additional questionnaires to this folder.

 

Over the next couple of weeks, we will be reviewing the google drive folders in detail, to ensure we have as much information as possible to prepare the 2022 annual accounts.

 

To assist with this, can you please check if the following have been uploaded to Google Drive:

  • Audit confirmation report from your bank
  • Certificates for term deposits that will mature in 2023

  • All 2022 Ministry Funding Notices including Operational Grants, ORS, ESOL, etc (unless these are already attached to transactions in Xero)
  • Copies of any new Lease Agreements
  • Audit Engagement letter for 2021 - 2023 (unless this was provided last year)
  • Copies of all 5YA documentation, including project approvals, payment summaries and Occupancy Use Certificates
  • Copy of the current 10YPP 
  • Copy of the current cyclical maintenance (painting) plan
  • All Board Minutes for 2022
  • List of all Board Members that held or hold office during 2022 (including those no longer on the Board)
  • KiwiSport Statement for 2022
  • Copy of the approved 2022 budget
  • Acceptance letters for any community grants received in 2022
  • Notional Lease information for integrated schools (we have the information for all of the state schools) 

We have been advised that the 2022 payroll reports will be available from 7 February. Can you please upload the following:

  • School Annual Accrual (SAAR) report
  • Leave liability reports from EdPay
 

EDPAY DEPARTMENT CODES

Did you know that in EdPay you can add department codes to group your employees in your SUE report? A department code is an account code that allows you to break down employees salaries into sub-groups. 

 

The primary benefit of grouping your employees is that it makes it easier to code the bank transactions in Xero. You can create and edit department codes to match your Xero codes.

 

The first step is to determine which codes your School is currently using. To do so, sign in to EdPay and under the School tab, click Administration, where you will find your school's department codes. To add a new code, you can use the "Add New Code" function on the right of the page.

 

Next, click the button below which will direct you to EdPay's training programme containing a step by step guide on how to update, amend, or delete these codes.

THE XERO TIP OF THE MONTH: SYNC XERO REPORTS & BUDGETS TO GOOGLE SHEETS

By syncing your Xero account with a Google email account, you can export your Xero Reports and Budgets to Google Sheets! This will allow you to modify, save, and share your document by inviting others to view these documents in Google as read-only files, even if they don't have a Gmail account.

 

To export a Xero Report or Budget:

 

1. Log into your Xero and go to the Report or Budget that you would like to export.

2. To the right of that document, click the menu icon. You will be prompted to select an export method; select Google Sheets.

3. You will be prompted to log into your Gmail account if you have not already done so. Each time you launch a Google Sheets session, you must confirm that Xero is a trusted site.

4. Once you have exported your document into Google Sheets, you can edit, save or share it.
