As the auditors are currently in the process of finalising the last of the audits, it's important to note that the statutory filing deadline of 31 May 2023 is fast approaching. To ensure that the audit is completed within the specified timeframe, we encourage you to address any queries from the auditors promptly.

When you receive the annual reports for signing, please ensure that they are signed and returned to the auditors as quickly as possible. If the annual report has not yet been cleared by the auditors, please have the Principal and Board Chair on standby. We can facilitate electronic signing of the reports if either the Principal or Board Chair are away.

Please ensure that the Principal and Board Chair use the same date on the signing page, and that the letter of representation is dated the same.

After receiving the audited (stamped) annual reports back from the auditors, please remember to combine the annual reports, audit opinion and analysis of variance into one document before uploading to the MOE data portal. We recommend using tools such as Adobe Writer or ilovepdf.com to combine the documents. Once you have uploaded the combined report to the MOE data portal, please let us know so that we can update our list.

You also need to upload a copy of the combined reports to the School website. Please refer to the MOE guidelines below with regards to posting documents online, especially around redacting signatures and identifying data.

HEADS UP: GET READY TO MAKE THE SWITCH TO XERO'S NEW REPORTS

As you may be aware, Xero has had two versions of reports for some time — the older version and Xero's ‘new’ reports. Xero's new reports are built on the latest technology and have some great features that will help you get quick access to information and streamline your financial analysis.

Because Xero is retiring the older versions of their reports, you will no longer be able to use them from 31 July 2023. However, you can use Xero's layout importer tool to bring across the layout of an old Balance Sheet, Budget Variance, or Profit and Loss report to Xero's new custom reports.

Need help? Our team is available to support you through this transition. We can convert and create custom reports for your school and show you how to do this yourself. Contact us today on 04-909-7729 or 0800 ASK AFS (0800-275-237)

XERO TIP OF THE MONTH: USING THE DEMO COMPANY FEATURE

Have you ever wondered how a transaction would affect your accounts or how it would show in the reports, but you didn’t want to risk messing up your financials? Xero's demo company lets you experiment with usable test data.

The demo company allows you to test out transactions and features completely separate from your schools’ data. Utilising the demo company, therefore, won’t affect anything you already have set up, nor will anyone else be able to see data you enter or import into the demo company.

To access the demo company feature:

  • Click the list icon to the left of your school name on any page, and select My Xero
  • At the bottom of the next screen, you’ll see a link to Try the Demo Company (NZ). You can reset the data anytime. But be aware that any data you enter or import will automatically expire and reset after 28 days.
