Urgent reminder:

 

The end-of-year School Annual Accrual Report (SAAR) and Annual Leave Liability Reports are available via Edpay, so if you haven't already done so, please can you upload these to the Google Drive 2023 Payroll folder.

 

Can you also remember to upload a copy of the Board Member list for 2023 (including all members that held office during the year).

IMPORTANT NOTICES

Banking Reminder - Accessing higher interest rates: 

 

If you have any extra funds sitting in your school current account which are not required in the short term, it is a good idea to transfer these funds to your Savings or Call account in order to benefit from the higher interest rates that are now available. 

 

And if you have funds that will not be required for more than three months you could also consider putting these on term deposit to earn even higher interest.

 

RECAP ON XERO'S EMAIL-TO-BILLS FUNCTIONALITY

While we've previously discussed Xero's email-to-bills feature in our July 2022 Chalkboard, we realise that some of our schools may not have had the chance to set this up yet. Therefore, we're revisiting the topic once again. This is the easiest way to get pdf copies of all bills loaded into Xero - perfect for keeping the auditors happy!

 

Xero's Email-to-Bills Feature: 

 

Xero offers an email-to-bills feature that provides you with a unique email address for sending your bills to Xero. Not only will these bills automatically appear in Xero as draft bills, but Xero will also read and enter all the important information, including supplier name, date, amount, etc.

 

To access your Xero email address, follow these instructions below:

  • Login to Xero and click on the Business tab - Bills to pay
  • Click the "Automate bill entry" tab 
  • Copy the email address into your address book
  • Email all supplier invoices to this email address and they will be waiting for you in Bills to Pay - Draft
  • Code the bill and submit for approval in line with your normal process.
 

XERO: CLASSIC INVOICING IS RETIRING - 2 SEPTEMBER 2024

For some time now, Xero has offered its users two invoicing options: classic invoicing and new invoicing. However, in line with its ongoing commitment to innovation and to make way for enhanced features and improved functionalities, Xero has announced that it will retire the classic invoicing option, effective September 2, 2024.

 

We understand that change can be an unsettling thing, but we assure you that Xero's new invoicing option is packed with time-saving tools designed to make invoicing more efficient. While some things may look a little different, all of your settings and invoice templates will seamlessly carry over.

If you are not already using new invoicing, now is the perfect time to make the switch. By familiarising yourself with the new version early on, you'll have plenty of time to adjust and get comfortable with the new interface. 

 

How do I make the switch:

 

You can make the switch to the new version of invoicing by clicking on the 'switch to new version', button in classic invoicing. You can also switch back to classic invoicing until it's retired, giving you the flexibility to choose which version works best for you. Xero also offers helpful resources and support to guide you through the transition process.

 

What features can you expect in the new version?

 

Xero is continuously working on adding new features to the new version of invoicing. Before the retirement of classic invoicing, they will be incorporating many of the features that are currently available in classic invoicing, such as the ability to copy invoices to other documents, create overpayments, and view detailed history and notes.

 

Additionally, there will be exclusive features in the new version, including more flexible invoice customisation tools, improved email templates for faster payments, and an easier way to personalise payment methods directly from your invoice.

XERO TIP OF THE MONTH: UTILISING XERO CENTRAL

Have you explored the wealth of resources available on Xero Central?

 

Connect with fellow Xero customers in the Xero Community Forums and circles to seek or share advice, as well as vote for product ideas. The community is filled with friendly members, and there's even a dedicated section on the official Xero forum specifically tailored for questions and answers.

 

Additionally, find video tutorials and demonstrations for using Xero on YouTube. These can be especially useful for learning the basics of the software and becoming more familiar with the user interface. Access these resources by clicking on the 'Learning' tab in the top toolbar.

FAREWELL TO ADAM BENNETT

Last Friday, we said farewell to Adam Bennett, who has been a valued team member at Accounting For Schools for over three and a half years.

 

During his time at AFS, Adam has enjoyed looking after a number of schools and developing a significant level of knowledge around the financial challenges that schools face.

 

As Adam embarks on a new chapter in his professional journey, he will be sorely missed by the team and undoubtedly by many of the schools he has worked with over the years. All the best, Adam!
