With only a few days remaining until the end of the year, we would like to take this opportunity to express our gratitude for your continued support. We value the trust you place in us and are proud to manage your Body Corporate or Cross Lease.
The team at Complete Body Corp Solutions will be taking a much-needed break over the Christmas and New Year period, with our office closing at 12:00 pm on Friday, 22 December 2023, and reopening at 9:00 am on Monday, 8 January 2024.

Overdue Levies:
A reminder that having overdue levies or outstanding amounts on your account will affect your eligibility to vote at the annual general meeting. Additionally, it will prevent you from participating in the committee or becoming the chairperson.
We understand that unforeseen circumstances may arise. If you find yourself facing overdue levies, we encourage you to reach out to us at finance@cbcs.nz. Our team is here to help and discuss potential payment plans to assist you. Changes in Levies Post AGMS:
After each annual general meeting, please keep an eye out for any changes in levies. It is crucial to review and modify any automated payments to ensure timely levy payments and avoid potential delays. Contingency Funds:
At the annual general meeting, there will be a motion that discusses the opening of a contingency fund. This is due to the new Unit Titles Act Legislation updates, which state that the Long Term Maintenance Fund is only able to fund the items on the Long Term Maintenance Plan. With the new changes in the Unit Titles Act Legislation and the new format for the Pre-Contract Disclosure Statements and Pre-Settlement Disclosure Statements, creating and collecting the relevant information and documentation are taking longer. We kindly request that you provide us with as much notice as possible if you are planning to sell your unit (ideally 3 weeks).
Additionally, please be aware that the prices for the Pre-Contract and Pre-Settlement Disclosure Statements have been updated to $650 +GST and $410 +GST, respectively. If you require either of these Disclosure Statements, please contact admin@cbcs.nz. |
HOW SHOULD YOU PREPARE FOR YOUR BODY CORPORATE AGM? |

As the Annual General Meeting season is now well underway, it is absolutely vital to ensure thorough preparation before attending your AGM.
AGMs offer a valuable opportunity for unit owners to acquire a deeper understanding of how the Body Corporate operates, enabling them to become well-informed, ask relevant questions, and actively participate in crucial decision-making processes. By being fully prepared, you can confidently engage in these discussions and make valuable contributions to the matters under consideration. |

In order to ensure a smooth and successful AGM, we have prepared a short guide below, serving as a helpful refresher. What should you do before your AGM? -
Send in proposed motions and nominations by the date requested on the Notice of Intention to hold an Annual General Meeting.

Ensure that you have read all the documents sent to you by the Body Corporate Manager about the meeting. There are a lot of documents involved in an AGM, so in the interests of saving paper and the planet, meeting materials will mostly be provided only in electronic form. If you feel you need a hard copy of anything, print it and take it with you – or take a device on which you can refer to the documents if you need them.
- Familiarise yourself with the Agenda, financial accounts, insurance quote(s) and the budget sent to you, before the meeting. If you have questions, it’s really helpful to provide those ahead of the meeting.

If you can’t attend in person, complete and send the proxy voting form or the Postal Voting Form ahead of the meeting, or familiarise yourself with the technology that will be used if attending virtually is offered. General meetings must have a minimum attendance of 25% of the votes of the BC in attendance to proceed – so if you can’t attend in person or virtually, fill in the form called a ‘proxy form’. You can direct how you want to vote on the items on the agenda or give your proxy – the person who attends on your behalf – the ability to decide at the meeting.
Don't forget to: - Enter your details on the attendance register, including your name and your unit number(s).

When you are moving and seconding motions clearly identify your name and unit number to the Chairperson of the meeting.
- When the Chairperson asks if you vote in favour, against or abstain on a resolution, respond clearly.
- Speak to a motion only once it has been moved and seconded and opened for discussion.
It's important not to: - Arrive late so that you are rushing and begin the meeting in a stressed mindset.
- Be afraid to speak up and move and second motions.

Be afraid to ask where the amenities are.
- Propose a motion that is not on the agenda (unless all members of the body corporate are present.)
- Leave early - you may miss the best part of the meeting!
Your AGM Needs You!
Every member plays an important role in the successful running of the body corporate. Your attendance at meetings is appreciated and valuable, so do take the time to do your research and attend meetings when at all possible. If you are unable to attend a meeting, you can nominate and be represented by another person, or vote by post, to ensure your voice is still heard. |
